Job Title: Training Operations Coordinator & HR Admin
Employment Type: Full-Time Permanent
Job Summary:
Reporting to the Training Manager, the Training Operations Coordinator is responsible for providing comprehensive administrative and coordination support and coordinating and support all facets of training services.
Primary Duties & Responsibilities Specific duties and responsibilities include:
OHS Training Department (70%)
- Oversee all facets of training department operations, including sourcing, coordinating, scheduling, and following up on all in-class, virtual and online training sessions. ∙ Ensure that all instructor-led training is scheduled, assigned, and prepared in accordance with established standards.
- Act as the first point of contact for training inquiries by responding to incoming client calls and emails and manage/resolve the Training department inbox inquiries in a timely and professional manner.
- For the ‘in-class training sessions, work with internal and external facilitators to coordinate all communication and logistics, including enrollment, training rooms, caterer, contractor accommodations, hotel, trainers, speakers, materials, etc.
- Managing the online learning management platform, including submitting courses/classes, managing rosters, updating participant’s training records (with attendance, evaluations and any other relevant training records or certificates) and distributing learner communications.
- Carry out tasks such as managing rosters, waitlists, cancellations, and collection of class evaluations and documentation, courses/classes submittals, updating participants training records (with attendance, evaluations and any other relevant training records or certificates) and distributing learner communications.
- Coordinating with instructors and being accessible for troubleshooting and support, as well as preparing and providing them with the course materials for distribution.
- Assisting with ongoing Training Department communication and initiatives as well as the marketing and promotion of Training Department products and services. ∙ Work with direct reports to ensure all training programs are operating smoothly and efficiently.
- Maintain participants’ database and records and submit accurate reports to the Ministry of Labour, Training and Skills Development (MLTSD), as required.
- Stay up to date on the legislated training standards and regulations.
- Find opportunities to cross-sell/upsell training products to new and existing clients. ∙ Assist with additional projects and tasks as required.
Administrative Department (30%)
- Assist HR Manager in smooth management and running of the office.
- Assist HR Manager with policy development
- Provide administrative support for the visitors’ entry and exit to the office. ∙ Support HR Manager in hiring and onboarding process.
To be considered for this role, the occupational health and safety coordinator must have the following qualification:
- Post-secondary education in Occupational Health & Safety, HR or related field required ∙ Administrative/Training/Customer Support experience.
- Exceptional communication skills both written and verbal
- Self-starter with solid organizational and time management skills
- Strong project management skills, including excellent ability to multi-task, prioritize, influence, manage cross-functional project teams and drive multiple initiatives forward. ∙ Able to work in a fast-paced environment and multitask, supporting multiple leaders/groups
- Strong computer skills including office work-related software, e.g., Word, PowerPoint, & Excel
